What is a multi-tenant SaaS platform? A practical explanation

Software-as-a-service (SaaS) products are sold by subscription and used through the browser or a mobile app, rather than installed on each customer's computers. Most modern SaaS products are multi-tenant.
What "multi-tenant" means
A tenant is a customer organization — a school, a clinic, a company. In a multi-tenant system, a single application and infrastructure serve all tenants, while each tenant sees only its own users, settings and data.
Think of an apartment building: one structure, shared foundations and utilities, but every flat has its own lock.
Why build it this way
Faster onboarding. A new customer signs up and gets a workspace immediately, without a separate installation.
One codebase to maintain. Fixes and features reach every customer at once.
Efficient infrastructure. Shared servers cost less than one deployment per customer.
How tenant data is separated
There are three common approaches:
Shared database, tenant ID on every row. Simple and efficient, but every query must filter by tenant — strict conventions and tests are essential.
Separate schema per tenant. Stronger isolation, more operational work.
Separate database per tenant. The strongest isolation, usually reserved for customers with specific compliance needs.
Many products start with the first approach and move large customers to dedicated databases later if needed.
What to plan for from day one
Roles and permissions within each organization, often with branches or departments.
Tenant-aware everything: file storage, background jobs, caching and search must all respect tenant boundaries.
Plans and limits: what each subscription tier includes, and how upgrades work.
Onboarding: sign-up, initial setup and importing existing data.
Mobile access, if staff work away from a desk — sharing the same API as the web app.
A real example
Fleexii, an HR and workforce management platform we built, is multi-tenant: each organization manages its own staff, branches, payroll, attendance and leave, with an Android app for employees backed by the same API.
